Directly Responsible for entire operations within Financial Reporting department in Poland servicing clients form EMEA location. The department consists of over 250 employees, therefore the head of the department should displays strong leadership skills, managerial skills, ability to run large scale operations, strong change managements as well as client servicing skills. Relevant industry experience is an asset.

Custody Specialist

TECHNICAL COMPETENCIES

PAYMENTS PROCESSING

  • Process cap stock payments on a daily basis (subscriptions, redemptions, internal transfers).

REPORTS PREPARATION

  • Perform cash monitoring on accounts and control the overdrafts.
  • Daily cash analysis (non-receipt, unadvised).
  • Prepare different reports summarizing fund activity (failed trades, unmatched trades, FX transactions, withholding tax rate changes, NAV variances, execution of corporate actions and income) on a daily, weekly and monthly basis where applicable.
  • Prepare various reconciliations on a daily, monthly, quarterly, semi-annual basis (cash monitoring, holdings, units, TA vs Custody) - compare and confirm data per client/accounting reports to data per bank/custody reports; research any discrepancies.

REAL ESTATE ACTIVITY

  • Recordkeeping of real estate assets (Monitor cash flows on external bank accounts for real estate funds).
  • Safekeeping of real estate assets (Document collection: understand and review the notarial acts documents linked to the real estate activity).

OTHER

  • Make a risk assessment to identify risky items that require to be investigated further and that require escalation.
  • Collaborates with the Review Team on an ongoing basis.
  • Complete custody checklist when required in accordance with procedures.
  • Stays objective and protects the investor`s interest at all times.
  • Ensure agreed timelines are adhered to.
  • Involvement in departmental ad-hoc projects.
  • Involvement in the training and development of other team members.
  • Make recommendations for changes to processes and procedures and prepare documentation for review as required.

NON - TECHNICAL COMPETENCIES

COMMUNICATION

  • Resolve review points highlighted by senior custody specialists and team supervisor and ensure they are kept informed of progress.
  • Establish and maintain good working relationships with internal clients and colleagues

ORGANISATION

Undertake appropriate housekeeping duties e.g. filing, archiving, operation of clean desk policy.

TRAINING AND PERSONAL DEVELOPMENT

  • Work with Team supervisor to identify objectives at the start of each year and keep them up to date.
  • Actively participate in the appraisal process by completing a self-evaluation and suggesting appropriate development.
  • Take responsibility for personal development and training.

REQUIREMENTS:

Specific Qualifications / Skills:

  • Numeracy / Literacy skills.
  • Accuracy and ability to work to tight deadlines.
  • PC literate and competent in use of spreadsheets and word processing. The ability to understand investment operations, funds and custody.
  • Proficiency in English.
  • French language is mandatory.

Level Of Education:             

Finance or Business related degree (preferred)

Previous Level Of Experience:

Previous experience in fund administration preferred but not essential.
